Quick answer

QuickBooks is an accounting suite with invoicing, for small businesses and self-employed people who want books, reports and taxes in one place. Settle is a free iPhone app for solo contractors with no cap on estimates or invoices, where payments go to your own Stripe account. Choose Settle if you work alone on an iPhone. Stay with QuickBooks if you need real bookkeeping, reports and tax help, not only estimates and invoices.

Why contractors look for a QuickBooks alternative

The free plan allows two invoices a month unless you turn on QuickBooks Payments

QuickBooks' pricing page says the Free plan allows up to two invoices a month, or unlimited invoices only if the business qualifies for and enables QuickBooks Payments. The cheapest plan that lists unlimited invoices outright is Lite at $20 a month on the Solopreneur page ($10 a month for the first 3 months, new customers only). Settle's free plan has no limit on estimates or invoices, with or without payments set up.

It is an accounting suite first, and the learning curve shows in reviews

QuickBooks' pricing page leads with "Cleaner books from day one"; estimates and invoices sit inside bookkeeping, reports and tax tools. Settle is only estimates, invoices and payment links on an iPhone, with no accounting to set up.

"Gets worse with each new version."QuickBooks reviewer, App Store

Payments can sit in review, and the first payout takes up to 5 business days

QuickBooks' help center says the first set of payments is deposited within 5 business days, that Intuit "may put payments on hold to make sure we protect the interests of all parties involved", and that a review takes up to 2 business days. With Settle the customer pays into a Stripe account in your own name at Stripe's 2.9% + 30¢, and Settle is never in the money path. Stripe still sets payout timing and runs its own risk checks, so a new Stripe account also waits several days for a first payout.

When QuickBooks is the better choice

  • You need real bookkeeping, reports and tax help, not only estimates and invoices. Settle only exports CSV.
  • Your accountant or bookkeeper needs their own login. QuickBooks includes it from Simple Start up.
  • You work from Android or a desktop browser, or need several users.
  • You want ACH bank payments at 1% or in-person card payments at 2.5%.

When Settle is not the right app

We would rather you know before you download:

  • iPhone only. There is no Android app and no web app.
  • No scheduling, dispatching, GPS or time tracking.
  • No QuickBooks sync. You can export everything to CSV.
  • One user per account. No crew or team logins.
  • Documents live on your phone. There is no sync between devices yet.
  • English only for now.
  • A new app from a small team. Most of the apps it competes with have been around for years.

How to switch from QuickBooks

QuickBooks' help center says you cancel from the Intuit Account Manager under Products and billing (or through Apple or Google if you subscribed in an app store), that a cancelled subscription keeps read-only access to its data for one year, and that QuickBooks Payments is closed separately in the Merchant Service Center. Before cancelling, use Settings, Export data to download reports and lists as Excel files in one zip.

There is nothing to import into Settle. Open the app, tap the orange button, and describe your next job. Your own prices are remembered from what you send, so your old price list doesn't need to come along.

Questions

QuickBooks: Lite, $20 a month on QuickBooks' Solopreneur page (shown as $10 a month, 50% off for 3 months), is the cheapest plan that lists unlimited invoices outright. Simple Start, $38 a month, is the entry plan on the main pricing page. Can I export my data from QuickBooks before I switch?

QuickBooks' help center says you cancel from the Intuit Account Manager under Products and billing (or through Apple or Google if you subscribed in an app store), that a cancelled subscription keeps read-only access to its data for one year, and that QuickBooks Payments is closed separately in the Merchant Service Center. Does Settle hold my money?

No. Customers pay through a link, and the payment goes to a Stripe account in your own name. Settle takes no cut and is never in the money path. Stripe sets payout timing and still runs its own identity and risk checks, as it does for any business.
